Job Description
Key Responsibilities - Project Management:
Provide subject matter expertise on and management of small construction projects across a portfolio of buildings.
Manage and provide oversight, coordination and resolve complex project related issues.
Provide effective, skilled project management to help reduce the costs of delivering projects and adding value to the business by applying proven project management techniques.
Have outstanding client interface and communication relationships and addressing challenges aggressively.
Establish and maintain project goals and success criteria that meet both JLL and Client needs.
Build and maintain rapport with client representatives and ensure that the scopes of project and outside business forces affecting the project is fully understood and that specific deliverables are fully understood with performance standards and other relevant criteria.
Coordinate any necessary due diligence efforts on behalf of the internal team, project partners, clients and /or end users, maintaining and delivering all appropriate documentation.
Develop a detailed project budget and clearly defined set of budget assumptions.
Act as the primary contact with the client throughout the duration of the project.
Guide the client and team through the design implementation process including conceptual, schematic, design development and construction documentation and signoff.
Develop and maintain Master Project Schedules and manage the successful execution of projects so that completion falls within intended timeframes.
Prepare RFP's needed for vendor and contractor services as well as manage the contractor, vendor selection process.
Facilitate initiation of all critical project meetings and coordination exercises with internal staff, key stakeholders, and external users to ensure responsibilities are efficiently, accurately, and effectively communicated and understood by all concerned.
Manage project performance against schedules, scheduled milestones and critical path items on multiple projects.
Manage vendor and project team performance to ensure compliance with contractual requirements, all regulating entities and client expectations.
Identify, manage, and mitigate areas of concern regarding potential liabilities and risk with Regional Manager.
Ensure that WXSM and Regional Facilities Manager are fully and accurately informed of all project issues.

Key Responsibilities - Facilities Management:
Proactively develop and manage local client relationship ensuring that expected service levels are achieved.
Comply with all requirements of the client contract and meet or exceed Key Performance Indicators.
Deliver an exceptional quality of service to the client, as reflected by client feedback.
Ensure client satisfaction with the site leadership team by providing a seamless interface of facilities service delivery through leadership, responsiveness, and creativity.
Manage the sites in accordance with all agreed policies, procedures and contract scope.
Follow the annual performance plan; accomplish Key Performance Indicators as agreed with client and within the MSA. The FM will maintain their own monthly stats to support their self-assessments of the program.
Identify opportunities for improved operation to drive efficiencies (process and cost) and make recommendations to the regional manager for consideration.
Ensure compliance with all health and safety, environment and risk management policies and procedures that relate to the site/s.
Manage repairs and maintenance and other requests, tracking to completion.
Manage vendor performance ensuring services are delivered in accordance with the contract and to agreed standards. Document and escalate instances of poor performance.
Effectively manage the JLL computerized maintenance management system service ticket program by completing all assigned tickets from customers and the preventative maintenance program within the Service Level Agreement parameters.
Coordinate with other client teams which may include workplace experience, concierge, office services, national real estate and outside consultants.
Support the sourcing SME and regional facilities managers through the vendor contract and procurement process.
Achieve or exceed financial targets and ensure effective, efficient and economic operation of assigned responsibilities.
Identify cost savings opportunities and track and contribute in compliance with the MSA KPIs.
Ensure that operational expenditure for the site/s is managed within agreed budgets and identify efficiencies where possible.
Support Regional Facilities Manager with creation of the annual operating budget and monthly variance reports.
Review and approve vendor invoices using available systems and in compliance with all account policies and procedures.
Ensure compliance within delegated financial and contractual authorities.
Align with facilities leadership team as a manager and act in a managerial capacity at the site level.

Minimum 5 years as a Facilities Project Manager or similar role.
Project management and / or facilities management certifications are a plus.
Excellent communication skills and ability to regularly communicate to client and team to achieve project goals.
Ability to think outside the box and lead the team in driving innovative procurement strategies, construction techniques and program sequencing.
Strong Scheduling, Project Accounting & Budgetary Capability.

Highly organized and ability to creatively solve problems.
Strong interpersonal skills with an ability to interact with executive level external and internal clients as well as external team members (architects, contractors, client's representatives, etc.).
Ability to manage all aspects of construction projects effectively and efficiently including, but not limited to scope development, budgeting, scheduling, submittals, change orders.
