The Associate Director, Promotional Programs reports into the Director, Sales Operations and will work directly with our brand teams, Legal, E&C, and our Speaker Bureau vendors to lead and manage Promotional Programs function. You will lead cross functional initiatives to enable various program tactics, engages with Ethics and Compliance, Legal, IT and other matrix teams to define business rules, processes, and performance metrics to enable effective and compliant execution of programs. You will provide business unit support for OAPI divisions. Provide direct operational support to our marketing teams, aligning systems and process functionalities with Marketing Initiatives and POA plans. Conduct field training for Promotional Program system and processes. You will manage the logistics vendor for successful execution of all bureau activities including speaker nominations, contracting, system configurations, budget allocations, and program confirmations, close outs, and Sunshine Reporting. Responsible for the tracking and reporting on bureau and vendor performance reviewed quarterly with key stakeholders.

You will be actively involved in managing the Speaker Bureau and supporting Aggregate Spend reporting process as it relates to Speaker Bureau. Reviewing all the data requirements and reporting needs for Aggregate Spend, managing CRs and delivery timelines and managing data remediation process. Additional responsibilities include maintaining interfaces and alignment of supporting and/or complementary systems, tools and processes. Responsible for the tracking and reporting bureau and vendor performance. Interface with the Ethics and Compliance, Legal, IT and other matrix teams. Maintains focus on customer service and continuous improvement. You will also manage Healthcare Interaction Portal Submission team that oversees the process and submitter training; bring expertise to evaluate and streamline the submission process and training for ease of use and complete/accurate submissions as well as leveraging best practices across bureau management (contracting, payments) and HIP process. Focus on customer service, performance against established metrics and continuous improvement are foundational to this role.

This position is based in Princeton, New Jersey. Otsuka maintains a hybrid work policy.

Job Description:

Develop and execute comprehensive speaker program strategies aligned with brand objectives, therapeutic area priorities, and compliance guidelines

Manage day to day activities of Promotional Program suppliers

  • Provide direction for open questions, situations or issues

  • Manage weekly core team meetings

  • Monitor and track vendor effectiveness and performance

Provide leadership and direction to Contract and Logistics Vendor. Hold quarterly business review meetings with the vendor.

Work directly with marketing teams to provide operational support for Promotional Speaker Programs

  • Speaker Identification and Engagement

  • Speaker Training and Contracting

  • Speaker Usage

Lead Governance Team Meetings with Brand, Legal, E&C and other key stakeholders to review key topics and policies

Liaison with E&C to review Promotional Program execution as well as new tactics to ensure process and system configurations support and are in alignment with OAPI policies and SOPs.

Work directly with FFE to ensure that Promotional Program processes and systems are effectively supporting our field sales teams

Lead Speaker Nomination and Contracting process for Bureau Launch - working cross functionally with Legal, E&C, Brand, Medical and Field.

Responsible for integration and support Prolifiq/ACE tool. Works with marketing to ensure materials are available in ACE and available for field utilization

Provide guidance to enhance the vendor systems to support Business needs.

Work with Aggregate Spend Core team and Speaker Bureau Vendors to provide all necessary data for Speaker Programs to the Aggregate Spend reporting system (Porzio)

Manage Speaker Bureau Data Remediation Process

Responsible for tracking, monitoring and evaluation of vendor performance. Identify areas of opportunity to enhance processes to meet business requirements most efficiently and compliantly

Develop Team and skill sets to be ready to meet future business needs

Minimum Qualifications:

  • BA/BS degree.

  • At least 7 years within the pharmaceutical industry.

  • Experience managing vendors and IT projects

  • Experience working with Promotional Speaker Programs

Preferred Knowledge, Skills, and Abilities:

  • Teamwork, Initiative, Problem-solving skills and a focus on continuous improvement

  • Demonstrated proficiency with business analysis, written and verbal communications, presentation and interpersonal skills is required.

  • Initiative, problem-solving skills, and a focus on continuous improvement

  • Hands-on experience with sales force automation systems (or equivalent), Microsoft Acces (or equivalent), PowerPoint, Excel and Word.

  • Pharma Compliance Experience or strong knowledge of Pharma Code as it pertains to field promotional activities

  • Experience within Pharmaceutical Sales Force Compliance role

  • Sales or Sales Operations experience

  • Experience in other Sales, Marketing or Sales Operations areas (e.g. Sales Training, Marketing, etc.)

  • Experience supporting or working with multiple business units or therapeutic areas
